What's New in Release 4.0.1

  • The DocuShare Archive Server add-on enables your organization to increase document storage by archiving content to a safe location. Using DocuShare search features, you can easily retrieve archived content.
  • The DocuShare Email Agent add-on improves collaboration and facilitates email management by enabling you to send email messages to DocuShare collections and groups. With your email stored in collections, you can manage the content using DocuShare features.
  • New features in DocuShare Outlook Client include: email messages stored as DocuShare mail message objects, server mapping synchronized between the Windows and Outlook Clients, Address Book displays addresses for individually selected object types, and Outlook Client properties added to the DocuShare Client Properties window.

What's New in Release 4.0

Web UI

  • My DocuShare provides a portal view of your DocuShare site. Using My DocuShare you can manage objects in a private collection, access your favorite objects, maintain a single calendar of your favorite events, access your routing tasks, and view your browsing history.
  • In addition to adding objects to your list of favorites, you can access your favorite objects on Web UI pages such as Permissions (favorite users and groups) and Change Location (favorite collections).
  • You can manage an online forum by posting topics and replies to a discussion object. All replies are threaded and fully searchable. Replaces bulletin boards and bulletins.
  • Enhanced search features include new menus for quick word searches and a single, redesigned advanced search page. Paging controls and sort options added to the search results page.
  • An expandable content map allows you to view all site objects from a single page and easily edit multiple objects in different locations.
  • A new wizard-based Routing Slip enables you to create multi-step workflows. You can now route individual document versions.
  • You can assign access permissions to individual document versions and set the preferred document version.
  • For paged displays such as favorites, collection contents, and search results, you can specify the maximum number of lines to display per page.
  • Copy and Paste commands added to the Edit Selected menu let you easily copy an object to another location.

Administration UI

  • A new Mail Message object class provides properties specific to mail messages.
  • You can access properties common to all objects from a single page, Global Property Values.
  • DocuShare provides feedback if a dsindex index_all is required after applying property updates.
  • You can set logging levels for DocuShare services from a single page.
  • Configurable properties are added to several services and components pages, including the ability to configure and manage document routing and workflow tasks.
  • Improved trashcan performance and management of trashcan objects.

DocuShare Windows Client

  • The Add-in for Microsoft Word provides two new File|DocuShare commands: Save As New Version and Open Offline.
  • The Version History provides a hierarchical display of document versions, renditions, and content elements.
  • Windows Client supports the new Mail Message object.
  • Windows Client supports roaming profiles by storing user profiles on a network location.
  • Windows Client automatically updates a mapped server's objects and properties when the administrator updates the server's schema.
  • New integrated logging features help with troubleshooting tasks.
  • Netegrity SiteMinder integration is provided for authentication and authorization management.


Known Issues
  • Administration UI
    • Custom property does not appear on Display Sequence page [7538] - After adding a custom property you need to update the schema to save the new property to the database.
  • Conversion Services
    • Some documents cannot be converted to HTML - Some documents of formats supported for HTML viewing may not display fully or may result in an error. There are limits on what HTML can handle, and some features or specific files are not yet supported properly by the Verity KeyView software on which DocuShare’s HTML Viewing functionality is based.
  • Document Approval and Routing
    • Only available through the Web UI - Document Approval and Routing is available only in the Web UI. Other clients, such as WebDAV or the Windows Client, always publish documents without routing. Although, you can customize document workflows using the DocuShare Developer Environment.
    • Routing tasks and upgrades - Routing tasks are upgraded from DocuShare 3.1 to 4.0. However, routing tasks are not upgraded from DocuShare 3.0.2 to 4.0. You should let the tasks complete before upgrading. For more information, call Customer Support at 800-835-9013.
    • Completed routing tasks display on My DocuShare [7716] - After completing a routing task that is displayed under Tasks on My DocuShare, the task remains in the list until you log out of and log into DocuShare.
  • Installation and Upgrade
    • Installations on Linux and Solaris servers [4684] On Linux and Solaris servers, warning messages and stack trace information may appear after the initial splash screen and license agreement display. However, DocuShare installs correctly.
  • Searching and Indexing
    • Search results may not include recently added content - Indexing occurs after new content is added to the site and may still be queued for indexing by the background indexing process. This delay is normally momentary unless a very large amount of content has been indexed or the DocuShare/Verity Indexing Service is stopped.
    • Some documents cannot be indexed - Occasionally, indexing is unable to extract some or all of the text from a document. The Verity text extraction libraries used to index file contents support a variety of file formats, but will have trouble with certain files.
    • Search returning bad search results - If incorrect search results are being returned, execute the dsindex command line utility to rebuild the search indices.
    • Reindexing can take 100% CPU - Reindexing the DocuShare site can take several hours and use 100% CPU. Therefore, it should be scheduled to run after the business day.
  • WebDAV
    • Refreshing Microsoft web folders [7282] - With some versions of Microsoft web folders, a Refresh (F5) does not update the Folders view when a collection has been deleted or renamed.
  • DocuShare Clients
    • Cannot use Caps Lock key when typing a Summary [23155] - When using the Checkin Wizard to check in a new document from Word, do not use the Caps Lock key when typing a summary. Doing so causes Word to shut down.
    • Error uploading document [27300] - Using Windows Client on Windows XP, an error can occur when trying to upload a document to a DocuShare server running 4.0 or higher with NTLM enabled (auto login).
    • Outlook Client assumes IE default browser [564] - The Outlook Client assumes Microsoft Internet Explorer is the default browser for the web view capability. Some functions are not available with the Netscape browser.
    • Log off and log in before using Client application [2955, 4427] - If an administrator installed one of the DocuShare Clients on your PC, do the following after installation is complete: 1. Log into your desktop. 2. If the DocuShare Add-ins for Microsoft Office are enabled, open each Office application before opening My DocuShare Places and Outlook. This ensures that the DocuShare commands appear in each application's File menu. 3. Log off your desktop.

Administration UI

  • [32015] You can create a required custom menu property that is multi-valued.
  • [35512] On Solaris installations, the session data from guest users is cleared and memory is released.

Document Routing & Approval

  • [12930, 12929, 12928] A workflow error does not occur when documents contain forward or back slashes in their titles.
  • [35045] You can edit the 10th step of a saved Routing Slip for a routing task that has more than 10 steps.

Notifications (Subscriptions)

  • [33864] Daily notifications run even when the maximum runtime is exceeded.

Searching and Indexing

  • [35016] When the docucoll directory is located on another drive, you can perform searches using custom properties.

Administration Interface

  • [10993] On Linux servers, Diagtool.sh now works when printing the contents of an individual queue.
  • [11007] When reassigning an orphaned object to a collection, you can now search for collections on the Move Orphans To page.
  • [11034] An error does not occur when changing a date property in the Admin UI.

Command Line Utilities

  • [34342] dsindex index_all can better handle "String index out of range" errors.

Subscription

  • [32538] Email messages are now sent to external recipients when a subscription event occurs.

Web Interface

  • [33981] You can search for a collection that includes parentheses in its title on the Change Location page.

  • [10804] The routing task status displays correctly after a document routed to one user for approval is not approved.

Search

  • [30235] When a Saved Query contains multiple pages of search results, you can display each page.

Administration Interface

  • [9836] Changing the connection ping trace does not change the drala dwe.xml database connection string.
  • [30695] After a connection ping trace to the Oracle database, the connection to DocuShare is reestablished.

Command Line Utilities

  • [9142] When using dsexport to export users, each user's username and domain is exported, regardless of whether the -p option is used.

LDAP

  • [28828] Logging into DocuShare does not remove LDAP users from any dynamic groups to which they are members.

Search

  • [9106] An error does not occur when the search results display calendars to which you have search but not Reader permission.

  • [27420] When using the auto login feature, the case of the user's name is ignored and login succeeds.
  • [27799] You can change the logging level for the Workflow Service.

Command Line Utilities

  • [28858] The dsorphan command provides an error message when it is unable to reassign an object.

DocuShare Email Agent

  • [8681] The Email Agent can receive mail messages with Internet headers longer than 256 characters.
  • [8810] Connection errors do not occur when the incoming mailbox and the outgoing SMTP mailhost are located on different servers.

DocuShare Interact

  • [28405] After upgrading from DocuShare 3.x to 4.0.1, Interact pages work correctly.

DocuShare Outlook Client

  • [8936, 8971] Outlook does not crash when dragging and dropping a mail message from Outlook to DocuShare and the message subject is blank or contains quotation marks.
  • [28441] If the option Always display Checkin Wizard when using drag and drop is selected or if there is a required property for a mail message, a Checkin Wizard displays to add the mail message to the collection.

DocuShare Windows Client

  • [7419] The Windows Client supports Netegrity SiteMinder 6.
  • [8712] An error does not occur when using the Checkin Wizard to assign access permissions to an object that you are adding to DocuShare.
  • [8861] You can drag and drop an attachment from a mail message to a server mapped to the Windows Client.
  • [28651] Errors do not occur when using Word to edit a document checked out from DocuShare and a document that you opened from a local folder.
  • [28654] When using the Rename command to change the title of an object, Windows Client does not replace a space with %20.
  • [29710] When adding new users and groups to an object's access list, all account names display.

Installation and Upgrade

  • [9108] DocuShare supports Sun Solaris 10.
  • [27438] After upgrading from DocuShare 3.1 to 4.0, an error does not occur when uploading documents.

Web Interface

  • [8604] When using the Search field on the Locations page to find a collection (or other type of container), you can enter part of the collection's title and DocuShare will find the collection.

  • [27456] After creating a custom Event URL property and you change the Length, the update is made to the database.

Command Line Utilities

  • [26540] Using dsgetprop and dssetprop with expiration_date and custom date properties now works.

Installation and Upgrade

  • [26649] You are able to log into DocuShare after changing the DocuShare internal domain name and then upgrading from release 3.1 to 4.0.

Web Interface

  • [27323] When renaming multiple documents, the documents display on the Confirm Rename page in alphabetical order.
  • [27466] An error does not occur when changing the Repeat to None and the number of occurrences to 0 for a recurring calendar event.

Windows Client Components

  • [7645] DocuShare calendar events display correctly when using Outlook Client with Outlook 2003.
  • [8066] Using Outlook Client, you can successfully open collections that contain several hundred subcollections.
  • [23244] Using Outlook Client, you can forward a mail message with an attachment that is stored in a collection.
  • [23620] When displaying the properties of a server mapped to My DocuShare Places, the user's account information is included on the Account page.
  • [25367] Using Outlook Client installed on a computer configured with Windows XP and Outlook XP, you can now copy a mail message with an attachment to a collection.

Fixes in Release 4.0

[22144] Rebooting a server that has several network adapters does not change DocuShare's Server ID.
[24705] Uploading a new document or document version does not cause an error when the document repository is on a network optical drive.

Administration Interface

  • [20920] The Routing Task Notification property appears on the User's property page.
  • [21007] An error message displays when you create a custom object class with a name longer than 32 characters.
  • [22866] Account properties display when viewing an account from the List Users and List Groups pages.
  • [23648] The Add User page in the Admin UI displays the same properties as the Add User page in the Web UI.
  • [24190] An error does not occur when uploading documents after moving the tmp directory to another location.

Command Line Utilities

  • [20213, 23984] dsexport -c supports using a regular expression.
  • [22493] You do not need to restart the DocuShare service after using dssetprop to change any server configuration properties.
  • [22226] dssetprop -q parents now runs in quiet mode.
  • [22634] dsexport to a CSV-formatted file does not fail when a document contains unicode characters.
  • [23746] dsimport replace and modify operations recognize the relationship between groups and users.
  • [24260] dsexport does not fail if a document title contains unicode characters.

Conversion Services

  • [23833] DocuShare can create HTML renditions of PDF documents generated using Adobe Distiller 6.0.

Document Approval and Routing

  • [20448] Email notifications are sent after upgrading from 3.0.2 to 3.1.
  • [21629] A routing recipient's comments are included in email notifications.
  • [22917] The Report on Routing window shows the latest document title.

Documentation

Installation and Upgrade

Interact

Scanning

  • [23124] An error does not occur when you add a collection to the temporary scan repository.

Search

  • [17065] You can search for objects using boolean properties.
  • [18914] You can specify integer and floating point values when creating a search term using a numeric range.
  • [20723] You can search for objects that include nonalphanumeric characters or nonalphanumeric and wildcard characters by selecting the specific property name, using the equals operator, and enclosing the search text within single quotation marks.
  • [23184] The Advanced Search page displays all page content regardless of the length of property names in menus.

Subscription

  • [24340] The subscription service recognizes email addresses that have four characters in the top-level domain (for example, jdoe@xyzcompany.coop).

Web Interface

  • [22153] When using the Windows Client Handle checkout from web browser option to check in an edited document whose filename contains a space, you are able to reopen the document again from your browser. This situation occurred on DocuShare servers using the PostgreSQL database.
  • [23643] Error message improved when trying to delete multiple users who own objects.
  • [23743] After saving a scanned document to a collection, the Author property is retained.

WebDAV

  • [23563] When logging is enabled, many WebDAV operations are now logged in access.csv.

Windows Client Components

  • [21033, 23604] A Site Administrator or a Content Administrator can unlock a document locked by another user.
  • [21844] The File Type menu in Find Files in DocuShare allows you to search for collections only as well as several other types of objects and files.
  • [22893] The is and is not search operators work correctly when using DocuShare Find Files.
  • [23620] You can change your account information using the DocuShare Server Properties window.
  • [23658] Custom objects display in menus using their labels and not their names.
  • [23817] Windows Client does not add an object that has a required property whose default value is blank; you must specify a value before the object is added.
  • [24118] When dragging and dropping a document to a mapped collection, the Checkin Wizard provides an Object menu from which you can select a custom document.
  • [24472] An error does not occur when checking out a document from the browser (the option Handle checkout from browser option is selected) and the document title begins with numbers.
  • [25290] You can save to a collection an Excel document that contains a hyperlink to another Excel document.
  • An object's Expiration Date property does not change when you display its Properties window again.
